In this article, we’ll introduce you to the extranet’s compliance centre, the Know Your Partner (KYP) form and some of the specific regulations that apply to properties on our platform.
Managing tasks in the compliance centre
To ensure compliance with regulations, we’ll collect and verify some information from our accommodation partners. To make this as simple as possible, we’ve created the compliance centre in the Tripeden.com extranet and introduced an updated KYP form to collect essential information.
The compliance centre is a dedicated section of the extranet that serves as a central hub for any regulatory compliance tasks. It’s here that accommodation partners can find the KYP form – a secure process to gather information from accommodation partners and safeguard the integrity of our platform.
To access the compliance centre, the primary account holder needs to log in to the extranet. Then they can click on the user account icon, select ‘Compliance centre’ and access the KYP form. Please keep in mind that some information in the KYP form – such as the name on the contract – can’t be changed in the compliance centre but can be updated via the Contracting API. If you don’t use the Contracting API, then accommodation partners can update the details of their contract in the extranet.
Providing information with the KYP form
The KYP form allows us to verify the identity and business details of accommodation partners. Completing the KYP form is vital for maintaining compliance and promoting ethical practices within the industry. The form varies depending on business type and property location, adhering to country-specific laws.
Accommodation partners should complete one KYP form for each Legal Entity ID (LEID), and the form must be filled out by the person who signed the agreement with us. This means that partners with multiple properties under the same LEID only need to complete the form once. Accommodation partners will be notified when they need to update their KYP forms as relevant regulations roll out.
Business entities are required to provide the following information:
- Business structure
- Legal business name
- Tax Identification Number (TIN) and issuing country
- Value Added Tax (VAT) number
- Business registration number
- Name and location of trade register
- Registered business address
Individuals conducting business on our platform are required to provide the following information:
- Full legal name
- TIN and issuing country
- VAT number
- Primary residence address
- Date and city of birth
Understanding the regulations
The regulatory landscape can move quickly, and accommodation partners can always find educational content about relevant regulations in the compliance centre. The first two regulations that the KYP form addresses are the Digital Services Act (DSA) and the EU Directive on Administrative Cooperation (DAC7).
The DSA is a regulation that aims to increase the transparency of online platforms such as ours. Under this regulation, we’re required to collect, verify and display certain information from accommodation partners considered ‘professional hosts’. We make this information available to travellers in the European Economic Area (EEA), whether they’re browsing or making a reservation.
The DAC7 is an EU law designed to improve tax cooperation between EU member states, including increased revenue transparency. Ultimately, this law simplifies tax collection for local tax authorities. This directive applies to partners based in the EU or with EU properties, including accommodation, attraction, car rental and taxi partners. Please note that connectivity partners do not need to fill out a KYP form.
As a Dutch company, we’re responsible for reporting information about our accommodation partners – both business entities and individuals conducting business on our platform – to the Dutch Tax Authority (DTA). The DTA shares this information with local tax authorities from other EU Member States.
Protecting partner data
Rest assured, the information your accommodation partners provide is used strictly for identity verification and we handle it with the utmost confidentiality. Data is only shared with authorised third parties when legally required. We’ll store any data securely and delete it six months after contract termination.
The importance of compliance
It’s vital that properties complete their KYP forms as soon as possible. Incomplete or delayed KYP submissions could lead to service limitations, preventing accommodation partners from fully using our platform. Accommodation partners that don’t submit their KYP forms before 2025 may have their EU-based properties closed on our platform or may not be visible to travellers in the EEA. Please encourage your properties to fill out the form as early as possible to keep operations smooth and avoid any unnecessary disruptions.
